AGREEMENT TO RULES & REGULATIONS
These Rules & Regulations apply to the 3rd International Coal Mining Equipment Exhibition ("Coal Indonesia 2008") which be held on 18 - 21 November 2008 at Jakarta International Expo, Indonesia. By applying the Space at Coal Indonesia 2008, you agree to these Rules & Regulations.
OPENING HOURS
Official Opening Hours are 10.00am - 06.00pm. Exhibition Hall will be opened to the Exhibitors 30 minutes before and 30 minutes after Official Opening Hours. No one may remain on the exhibition hall outside that schedule without prior consent from Show Management.
ACCESS
Access to Exhibition Hall will be by pass. Show Management reserves the right to refuse any or all person who are not able to show the valid pass.
PASSES
- Exhibitor Pass: Issued for Exhibitor and/or third party’s company working under supervisory of Exhibitor and is valid during show period. Show Management will issue 1 (one) Exhibitor Pass for every 2sqm exhibit space.
- Working Pass: Issued for Exhibitor and/or third party’s company working under supervisory of Exhibitor and is valid during build up and break down period. Show Management in its discretion will limit the Passes on "reasonable" basis.
- Visitor Pass: Issued for any people need to visit the Show. To get the pass, visitor should register in advance. Registration could be made in advance by fill in Visitor Registration Form and mail, fax or email to Show Management or on site registration at receptionist counters.
ADMISSION POLICY
The Exhibition opens for business and trade visitors only. Entry to the Exhibition Hall is free of charge with compulsory registration. All visitors should be properly attired. No shorts, sandals, t-shirt or any other suits that look or may arise unprofessional taste may enter the Exhibition Hall. No child under 16 years of age will be permitted to enter the Exhibition Hall except school-sponsored groups that have the prior consent of Show Management. Show Management reserves the right to refuse any admission or remove any people from Exhibition hall if in Show Management sole discretion are not properly attired or may detract from the character of nature of the Exhibition.
BUILD UP AND BREAK DOWN
Each Exhibitor will be assigned a specific schedule for build up and break down activities. Compliance with the schedule and all provisions set forth in Technical Guidelines or any other correspondences that might be issued by Show Management is mandatory. Failure to comply with the schedule will arise additional charges and Exhibitor should responsible for any charges incurred.
LATE BUILD UP
Exhibitor near the loading door or any other locations that may disturb the movement traffics will be required to delay build up activities.
MOVE IN AND MOVE OUT
Each Exhibitor will be assigned a specific schedule for move in and move out of display materials. Compliance with the schedule and all provisions set forth in Technical Guidelines or any other correspondences that might be issued by Show Management is mandatory. Failure to comply with the schedule will arise additional charges and Exhibitor should responsible for any charges incurred.
PRIORITY ACCESS
Exhibitor with equipment, machinery, tools, vehicles or whatsoever similar or dissimilar to equipment, machinery, tools, or vihicles that need special attention regarding dimension and weight will be given a priority access. To get the priority access schedule, the Exhibitor should fill in Priority Access Request and mail, fax or email to Show Management on or before deadline.
MOVEMENT OF EXHIBIT MATERIALS
Despite move in and move out or display materials are allowed during show period, all movement should be reported to Show Management.
ARRANGEMENT OF DISPLAY MATERIALS
Display Materials shall be so arranged as not to obstruct the general view nor hide the exhibits of others. All aisles must be clear of Display Materials and whatsoever that may disturb visitors. To ensure the safety of all visitors, every attempt should be made to position machinery, equipment or any other promotional materials so that no portion is out to the aisle.
EXHIBITOR PERSONNEL
At all time during show period, all stands should be attended. Stand attendants should be ready 30 minutes before and will not allowed to leave the stand after 30 minutes of official opening hours. Uniformed attendants, models and other employees must be dressed in good taste.
CONDUCT AT THE EXHIBITION
- Distributing Materials: Distributing of literature, souvenirs or whatsoever shall conduct inside boundaries of Exhibitor’s stand.
- Distributing of Non-participate Materials: Exhibitor is strictly forbidden to distribute materials that are other than Exhibitor’s own materials unless Exhibitor has obtained Show Management’s prior written approval. This prohibition apply before, during and after Official Exhibition Hours.
- Canvassing: Canvassing in Exhibit halls or distribution of advertising matter, souvenirs or any other items whatsoever by anyone that is not a paid exhibitor is strictly forbidden.
- Photograph: Exhibitor is prohibit from taking photographs of other exhibits or other aspects of the show, without Show Management's prior written approval. Exhibitor may photograph only their own booth.
- Demonstration: Demonstration or any activities whatsoever similar or dissimilar that require members or guests shall be conducted within Exhibitor assigned space.
- Prize Contest: Prize contest or any activities whatsoever similar or dissimilar shall be conducted within Exhibitor assigned space and are subject to the control and approval of Show Management.
NOISE LEVELS
Exhibitors operating equipment, machinery, sound amplification equipment or other equipment generating noise shall do so only at conversational level and does not interfere with other Exhibitors. Show Management in its sole discretion will determine whether or not the sound interfere other Exhibitors, and Show Management has the right to prohibit the operation of equipment, machinery, sound amplification equipment or other equipment generating noise.
FOOD AND BEVERAGE
Alcoholic beverages in any form may not be allowed to serve in the Exhibition Hall and area surrounding the Exhibition Hall.
SMOKING
Smoking is not allowed at the Exhibition Hall and area surrounding the Exhibition Hall refers to the Government regulations which prohibit smoke on the public area.
DISCLAIMER
All matters and questions not covered by this Rules & Regulations are at the discretion of Show Management. Show Management at any time may change, delete or add part or all of any provisions of this Rules & Regulations as Show Management deem necessary. Any or all alterations shall be equally binding all Exhibitors as the original Rules & Regulations.
