AGREEMENT TO TECHNICAL GUIDELINES
These Technical Guidelines apply to the 3rd International Coal Mining Equipment Exhibition ("Coal Indonesia 2008") which be held on 18 - 21 November 2008 at Jakarta International Expo, Indonesia. By applying the Space at Coal Indonesia 2008, you agree to these Technical Guidelines.
GENERAL
Unless the Exhibitor take Indoor Sell Scheme, the Exhibitor himself shall take care of the installation, equipment, furnishings and fittings of the stand. The Exhibitor shall be entitled to build, equip and furnish his stand at his own discretion, taking into account the Rules and Regulations as instructions issued by Show Management with regard to safety, as well as general and aesthetic design. It is essential that exhibition stand must be properly build and decorated.
ACCESS
During build up period, Exhibition Hall is accessible via loading door on the back side of the hall. No one will be allowed to enter the Exhibition Hall without a valid Pass.
SCHEDULE
General build up schedule is 10.00am - 10.00pm. Separate specifics schedule in which each Exhibitor could enter the hall will be arranged and issued as Show Management deem necessary.
HALL SPECIFICATIONS
Loading Door: 4m width, 3.5m height.
Floor Structure: Concrete slab with floor hardener
Floor Loading: 225kg/sqm. If the exhibited objects exert a bigger load on the floors, the Exhibitor shall provide a load-distribution support
Roof Height: 6m.
STAND CONSTRUCTION
- All stands must be of a free standing construction, nothing may be attached to the floors, walls, ceilings or columns of the building in any form or by any means.
- The standard height of stands and promotional materials are 2.5m from the hall floor. No stand or promotional materials may exceed the limit. If the limit of 2.5m is exceed, the written consent of the Show Management and neighboring or adjoining stand shall be obtained prior to build up period.
- The rear side of partitions or walls next to aisles or between stands should be attractively designed, build and decorated by the Exhibitor to whose stand they belong and should not affect the interest on neighboring or adjoining exhibitors.
- Physical extensions including but not limited to signs, flags, plants, carpets and light beyond the Exhibitor assigned space will not be permitted.
- Only one third of stand side facing the aisle could be closed.
BUILD UP ACTIVITIES
- Prior to the installation of the stand, all floor surfaces in the Exhibitor's assigned space shall be fully covered for protection.
- Circulation routes must be kept clear at all times, no equipment, packaging materials etc may be placed anywhere other than Exhibitor's assigned space.
- All construction materials should be ready to assembly. If the decoration is made of wood or any other materials that need to be prepared in advance, then it should be made ready outside the exhibition hall before move in and assembly.
- Floors, walls, ceilings or columns of the building may not be painted or defaced.
- Interior works should be done within the space of ones own stand and should not extend to the aisle nor hinder passing traffic.
- For Indoor Space and Shell package, no painting of the panels, fascia or any part of the shell scheme is permitted and no holes may be drilled into any section, and no screw, bolts, nails pins and staples to be used.
- All equipment belonging to exhibitors must be dismantled, packed and removed two hours to the end of schedule and stands must be completed one hour to the schedule.
PLACEMENT
- Promotional Material
No materials including but not limited to banners, posters, lighting fixture or whatsoever related to promotional materials may be hung from the ceilings and/or posted on walls or columns. All aisles must be clear of Display Materials and any other promotional materials. - Sound System
Exhibitor use sound system should position speakers, amplifiers and other sound devices so the direct sound is targeted into the stand rather than toward the aisle. - Visual Devices
Television, screen walls or any other visual devices should not be build facing the aisle. They should instead be build at a 45 degree to the aisle. The construction of a wall holding televisions or screens must not exceed 2.5m in height and the front of the walls must be at least one meter from the edge of the aisle. If the wall need to exceed 2.5m in height then it should not be higher than 4 meters and the front of the wall should be at least 2 meters from the edge of the aisle.
STAND IDENTIFICATION
All stands shall be identified with company’s name and stand number and should be displayed in a design and place that shall be seen clearly. Exhibitor not take Space and Shell package are responsible to provide their own stand identification.
ELECTRICAL SUPPLY
Only the electrical contractor appointed by Show Management is permitted to carry out electrical work and installation at the Exhibition Hall. For Indoor Space and Shell package, electrical supply already include, for Exhibitor not take Indoor Space and Shell package, the prior request should be made on or before deadline and charges will be applied.
DISCLAIMER
All matters and questions not covered by this Technical Guidelines are at the discretion of Show Management. Show Management at any time may change, delete or add part or all of any provisions of this Technical Guidelines as Show Management deem necessary. Any or all alterations shall be equally binding all Exhibitors as the original Technical Guidelines.
